Internal space requests
Internal space requests are reservations involves college space for anything outside of classroom instruction. These events involve Malcolm X College employees or students for the purpose of college related business; generally no external organization is involved. Common conference rooms, classrooms, and general use areas are assigned; this does not include private conference rooms or individual offices. Requests may or may not include the public.
Equipment may be requested in conjunction with space request (no separate Audio Visual Equipment request is needed).
Space requests should include (at minimum) the following information:
Event title, event content, event agenda, requested date, requested start and end times, coordinator contact information, requested room(s), requested seating arrangements, audiovisual needs, information pertaining to food, and any special comments about the event.
The Process
- An online application form is completed (coming soon)
- Call 312-850-3526 for more information
- A space confirmation receipt is forwarded electronically
- Confirm setup and/or audio-visual details; provide diagram
- A walk-through may or may not be requested.
- Before event day, ensure all details has been posted to the online College Calendar
- On event day, rooms (and Smartboxes if applicable) are opened by Security; Facilities will monitor the space
- At the end of the event, ensure that doors are shut (if applicable) and the area is in the state it was provided; if there are garbage concerns, contact Maintenance at (312) 850-7235.
Key Points
- All reservations must be made online
- To make a reservation, users will need a username and password
- To obtain your username and password; e-mail Facilities and Operations Coordinator
- Internal requests will be responded to within 72 hours if the request is for a small meeting using a classroom and not requiring set-up from our maintenance staff
- Any request outside of a classroom, that is not a small meeting, and/or requires maintenance will be responded to within 7 calendar days
- Equipment will be delivered and picked up during hours of operation.
- Equipment that is used after the hours of operation will require that the user complete an Audio-Visual
- Equipment Property Form whereas a copy is distributed to the user, Facilities, and the Office of Public Safety and Security (Room 1208). An Employee ID is needed.
